Job Summary:

A Medical Scribe/Surgical Coordinator supports providers by accurately documenting patient encounters, managing medical records, coordinating surgeries, and facilitating the smooth operation of clinical and surgical activities. This position demands a comprehensive understanding of dermatological and surgical procedures and terminology, as well as a high level of precision and attention to detail.

Key Responsibilities:

Documentation:

  • Accurately document patient medical histories, skin examinations, diagnoses, and treatment plans during dermatological consultations and procedures.
  • Record and transcribe detailed dermatological findings, including information about skin conditions, lesions, and recommended treatments.

Assistance During Dermatological Procedures:

  • Accompany dermatologists during patient skin examinations, biopsies, and other dermatological procedures, taking meticulous notes and documenting observations.
  • Assist in preparing dermatological equipment and materials as required.

Surgical Coordination:

  • Schedule surgical procedures and preoperative appointments, ensuring all necessary documentation, consents, and insurance authorizations are complete and on file.
  • Coordinate with surgical facilities, vendors, and medical supply companies to ensure proper materials, instruments, and equipment are available for each procedure.
  • Provide patients with preoperative and postoperative instructions, addressing questions and ensuring a clear understanding of the process.
  • Maintain and update surgical logs, ensuring proper record-keeping and follow-up for surgical cases.

Data Entry:

  • Input dermatology-specific test results, skin images, biopsy reports, and surgical details into electronic health records (EHR) systems.
  • Ensure the proper organization, maintenance, and accuracy of dermatological and surgical patient charts.

Administrative Support:

  • Assist with scheduling patient appointments, managing medical records, and performing administrative tasks essential to the dermatology practice.
  • Maintain and update patient charts with current and relevant dermatological and surgical information.

Skin Imaging:

  • Capture and manage dermatological images using specialized imaging systems, ensuring accurate storage and association with patient records.

Communication:

  • Communicate effectively with dermatologists, clinical staff, and surgical teams to clarify and verify patient information and procedural needs.
  • Relay important dermatological findings, surgical instructions, and recommendations to the healthcare team as necessary.

Compliance:

  • Adhere to all relevant healthcare regulations and guidelines, including HIPAA, to protect patient privacy and confidentiality, with special attention to sensitive dermatological and surgical images and information.

Qualifications:

  • High school diploma or equivalent; additional education or training in dermatology or surgical coordination is preferred.
  • Proficiency in dermatological and surgical terminology, with a solid understanding of dermatological and surgical procedures.
  • Excellent typing and data entry skills, with a keen eye for detail and accuracy.
  • Familiarity with electronic health record (EHR) systems, particularly those used in dermatology and surgical coordination.
  • Ability to maintain patient confidentiality and adhere to ethical and legal standards.
  • Strong communication skills and the ability to work effectively in a fast-paced environment.
  • Interest in pursuing a long-term career in the medical field.

Working Conditions:

  • Medical Scribe/Surgical Coordinators in dermatology offices typically work standard office hours, with some flexibility based on the needs of the practice.
