Job Summary:

The Mohs Scheduler plays a critical role in supporting Mohs Surgeons by managing all administrative tasks related to patient scheduling and follow-up. This position requires a detail-oriented individual with strong organizational and communication skills to ensure efficient and effective patient care coordination.

Essential Functions:

To successfully perform this job, an individual must be able to satisfactorily execute each essential function with or without reasonable accommodation:

  • Conduct post-operative follow-up calls to surgical patients to assess any post-operative pain, bleeding, or issues with bandages.
  • Organize and maintain surgical paper charts (Mohs maps) on a weekly basis, ensuring all necessary preparations are completed.
  • Monitor and ensure that patients on Coumadin maintain appropriate INR levels.
  • Prepare documentation for surgical phone consultations.
  • Oversee the management of tasks within the Electronic Medical Assistant (EMA) system.
  • Handle intra-team communications and scheduling, specifically related to patient calls and coordination within the Mohs team.
  • Coordinate with plastic surgeons regarding patient phone calls and scheduling appointments as needed.
  • Regularly check and respond to voicemail messages for the Mohs department, ensuring timely and appropriate responses.
  • Maintain the Pathology Log, ensuring all tasks such as patient follow-up, treatment plans, and prescription entries are completed accurately.
  • Keep updated culture logs and ensure they are maintained according to protocols.
  • Confirm surgical appointments and manage the surgical cancellation list.
  • Ensure consistent and reliable attendance.
  • Perform additional duties as assigned by the supervisor.

Knowledge, Skills, and Abilities:

The following requirements represent the knowledge, skills, and abilities necessary for this role:

  • Education: High school diploma or equivalent is required; some college coursework is preferred.
  • Experience: At least one year of administrative experience in a medical setting.
  • Certifications & Licenses: Not applicable.
  • Technology Skills: Proficiency in MS Word, Excel, PowerPoint, and Outlook. Familiarity with Electronic Medical Records (EMR), particularly EMA, is preferred.
