Position Summary:
The Pathology Administrator is integral to the efficient operation of laboratories and medical practices, providing essential administrative and clerical support. This role is responsible for maintaining patient files, managing front office tasks, and ensuring accurate organization and filing of medical records and pathology slides. Additionally, the Pathology Administrator acts as the primary liaison for patient communication, handling scheduling, inquiries, and the delivery of biopsy results with clarity and compassion.
Essential Functions:
To perform effectively in this role, the candidate must fulfill the following duties with or without reasonable accommodations:
- Deliver test results to patients in a clear, professional, and empathetic manner, ensuring comprehension of the information provided.
- Confirm that patients understand follow-up actions and address any questions or concerns.
- Maintain accurate documentation of all patient communications in compliance with practice policies and HIPAA regulations to ensure confidentiality and thorough record-keeping.
- Guide patients through follow-up appointments and treatment options, documenting all instructions in the electronic medical records system with precision.
- Ensure the front office operates smoothly by organizing and maintaining medical records, pathology slides, and managing incoming calls efficiently.
- Manage all aspects of biopsy-related patient communications, including scheduling procedures, answering inquiries, and providing appropriate support to patients throughout the process.
- Exhibit consistent and dependable attendance to ensure all responsibilities are met effectively.
- Perform other related duties as assigned to support the laboratory or practice’s overall operations.
Knowledge, Skills, & Abilities:
- High school diploma or equivalent required.
- 0–1 year of relevant experience, preferably in a healthcare or medical office setting.
- Proficiency in practice management software and electronic medical record (EMR) systems.
- Skilled in Microsoft Office applications, including Word, Excel, and Outlook.
